Departmental Overview

The Office of Risk Services implements Enterprise Risk Management (ERM) strategies to identify, assess, quantify, and evaluate casualty and operational risk exposures across the campus. The goal is to reduce liability exposures, reputational damage, and operational disruptions while supporting the University's mission and financial stability.

Job Summary

Under the guidance of the Campus Risk Manager, the ERM Analyst 3 will perform a broad range of tasks in connection with the review of insurance, indemnification and limitation of liability provisions in complex contractual agreements for compliance with Regents Standing Orders. The ERM Analyst 3 will provide Litigation Coordination support including the collection and production of evidence in litigation matters, and advise on the appropriate response to a range of complex operational risks (physical, financial, legal, reputational) risks.

Responsibilities

Claims Management & Insurance Program Administration

  • Manage claims reporting and administration for general liability, property, automobile, and cyber liability claims.
  • Coordinate with campus departments, UCOP Risk Services, third-party claims administrators, and UC attorneys to ensure claims and lawsuits are handled appropriately.
  • Enter and maintain claims records in the campus claims management system (currently iVos).
  • Liaise with third-party claims examiners (currently Sedgwick CMS) to obtain documentation, estimates, and facilitate site inspections to verify losses.
  • Determine eligibility for reimbursement under campus automobile, property, and general liability self-insurance programs.
  • Review third-party administrator recommendations and Statements of Loss for accuracy and completeness.
  • Assess deductibles, identify subrogation opportunities, and recommend cost allocation strategies to improve claims program effectiveness.
  • Implement and monitor claims payment controls and risk management program procedures.

Contract Review & Risk Transfer

  • Conduct redline contract review edits to the insurance, indemnification, and limitation of liability provisions in contractual agreements to ensure compliance with Regents Standing Orders and institutional risk management requirements across a broad range of agreement types including intellectual property agreements, licensing agreements, construction and real estate agreements, services contracts, data security clauses, right-of-entry agreements, business agreements, sponsored projects, and training agreements.Serve as a resource to staff, faculty, and departments regarding contractual risk transfer and insurance requirements.
  • Interact with campus stakeholders and external partners regarding contract-related risk issues, including matters involving sensitive or confidential information.

Litigation Coordination & Legal Support

  • Coordinate with the Core Defense Coordination Team including the Office of General Counsel, campus counsel, UCOP Risk Services, third-party administrators, and campus departments regarding lawsuits involving the campus.
  • Conduct research into loss history of litigated claims.
  • Support document collection and production activities on behalf of outside legal counsel.
  • Issue litigation hold notices in consultation with campus counsel.
  • Manage electronically stored information (ESI) and support legal teams through the e-discovery process.
