Title: Head of Portfolio Intelligence

About the Role
We are a privately held commercial real estate investment firm seeking a Head of Portfolio Intelligence to own both portfolio performance and the AI‑driven systems that run the company. You will manage all property and portfolio‑level reporting, budgeting, loans, insurance, and tax appeals, while also designing and implementing agentic and automated workflows across operations and marketing.
You will be the internal expert on AI, automation, and data architecture—responsible for turning manual, spreadsheet‑driven processes into scalable, intelligent systems.
Core Responsibilities
Portfolio & Asset Management
- Lead property‑ and portfolio‑level reporting for internal stakeholders, lenders, and equity partners (monthly, quarterly, annual).
- Own annual budgets and rolling forecasts at the property and portfolio level, including variance analysis and scenario modeling.
- Maintain and continuously update the master loan key (terms, covenants, maturities, rate caps, compliance status).
- Oversee property and portfolio insurance: renewals, coverage strategy, coordination with brokers and carriers.
AI, Agents & Automation
- Design and implement automated workflows and agents to reduce manual effort in reporting, budgeting, covenant tracking, insurance, and tax processes.
- Build and maintain an internal data model that integrates accounting, property management, loan, and operational data into a reliable single source of truth for analysis and agents.
- Develop AI agents that can:
- Monitor key metrics and covenants, flag anomalies, and trigger alerts.
- Evaluate, select, and implement AI tools and frameworks (LLM providers, agent frameworks, RAG/document intelligence, workflow automation platforms) that best fit the firm’s needs.
Marketing & Outreach Automation
- Design and deploy agents/automations that expand company outreach to lenders, brokers, investors, and other partners (e.g., personalized campaigns, follow‑ups, CRM hygiene).
- Automate creation and distribution of marketing content (deal spotlights, portfolio updates, market commentary) across email, website, and social channels, with human approval where appropriate.
Ideal Candidate Profile
- 3–7+ years of experience in commercial real estate, real estate investment, real estate finance, or adjacent roles (e.g., asset management, portfolio management, real estate FP&A, or real‑estate‑focused analytics).
- Demonstrated ownership of portfolio‑level reporting, budgeting, and lender/equity communication in a prior role.
- Hands‑on experience with AI and automation:
- Designed and deployed AI agents or LLM‑driven workflows in a professional context—not just prompt engineering.
- Comfortable using at least one agent/LLM framework (e.g., LangChain, LlamaIndex, OpenAI tools/agents, or equivalent) and connecting it to internal data via APIs / RAG.
- Practical experience with automation tools (e.g., Python + APIs, or platforms such as Make/Zapier/Workato combined with custom logic).
- Strong data skills:
- Advanced Excel
- Track record of seeing broken workflows and independently building better systems—ideally involving automation or AI.
- Comfortable operating in a lean environment, wearing multiple hats, and working directly with ownership.
Nice to Have
- Experience in Proptech, real estate data products, or AI/automation consulting with real estate clients.
- Experience with property management/accounting systems (e.g., Yardi, MRI, RealPage, AppFolio, etc.).
- Prior responsibility for marketing automation, CRM, or growth ops is a plus.
