Ontrack HOA/Property Management
Job Summary
We are seeking a experienced HOA Manager to oversee and manage the operations and management of a homeowner association. The candidate who can independently manage operations, drive execution, and handle board-level communication with minimal supervision. The ideal candidate who truly understands HOAs CC&Rs and bylaws, rules & regulations.
Key Responsibilities
- Handle financial matters including budgeting and collection of dues
- Coordinate maintenance and repairs for common areas
- Address homeowner inquiries and concerns promptly
- Organize and attend board meetings (In person or zoom)
- Help Manage day-to-day operations of the homeowner association
- Performs routine building walk throughs to check for violations and maintenance work orders.
- Timely complete and Issue violation notices and work orders
- Create resident communication/flyers to be posted in elevators, bulletin boards or other areas
- Respond to emergency situations Take client calls and manage work order process, vendors, and client issues and follows up on all complaints/issues
- Oversee and manage resident requests, work-orders and correspondence on community website(s).
- Code invoices to appropriate GL categories
- Produce requested reports for Board packets
- Organize and maintain all homeowner and administrative files & perform annual Corporation file cleanout
- Keeps voicemail up-to-date, including setting out-of-office email and voicemail greetings, when out of the office.
- Works collaboratively with Manager on any special requests, i.e. administrative work, mailings, special projects, etc. Skills & Qualifications:
- Demonstrate effective communication skills consisting of verbal, written and listening skills.
- Excellent customer service background/skills and maintain a positive, can-do attitude.
- Must be knowledgeable and adept with computer programs needed for specific position basic knowledge of Vantaca, AvidStrongroom, Homewise, Microsoft Applications, Word and Excel.
- Requires driving; must have a valid driver's license and state mandated vehicle insurance.
- Experience in property management in HOA communities.
- 3+ years in HOA property management experience
- Sales skills are highly valuable across industries because they drive revenue growth, enhance client relationships, and improve communication.
- Work Location: In person Los Angeles downtown art district
