Compensation: $75,000 per year plus an annual performance-based bonus. Actual pay will be determined based on various job-related factors such as location and experience. Position Overview:
As the WMP Advisory Billing Manager, you will play a pivotal role in overseeing our advisory fee billing processes, ensuring they are accurate, timely, and compliant with internal controls and regulatory standards. You will lead a dedicated team responsible for fee calculations, account reconciliations, exception resolutions, and the auditing of advisory billing activities. Your focus will be on enhancing workflow efficiency, maintaining solid documentation, and ensuring consistent execution of processes. Collaboration with Accounting, Operations, Technology, Compliance, and Advisory leadership is essential to deliver an excellent client experience and uphold financial integrity.
Education Requirements:
A Bachelor's degree is preferred. However, a high school diploma (or equivalent) along with significant relevant experience may be considered in lieu of a degree. A minimum of a high school diploma or equivalent is required.
Key Responsibilities:
- Manage daily, monthly, and quarterly billing workflows to ensure accuracy and compliance with service level agreements.
- Lead, mentor, and develop a team of fee billing analysts, providing coaching and opportunities for professional growth.
- Create and maintain comprehensive procedures, process documentation, and internal control frameworks.
- Distribute work efficiently, ensuring timely completion of all billing cycles and reconciliation tasks.
- Collaborate with cross-functional leaders to streamline processes and automate workflows whenever possible.
- Oversee the precise calculation of advisory fees, including tiered billing, breakpoint reviews, householding, and prorated adjustments.
- Ensure data integrity between portfolio/accounting systems and billing platforms.
- Identify process risks and implement strong controls to prevent errors.
- Support internal and external audit requests by providing necessary documentation and process insights.
- Continuously seek and implement process improvements to reduce errors, enhance efficiency, and strengthen oversight.
- Act as a point of escalation for complex fee inquiries from advisors, internal teams, and clients.
- Deliver insights and analytics on billing trends, error rates, revenue impacts, and operational performance.
Basic Qualifications:
- At least 5 years of experience in financial services, with a minimum of 2 years in a leadership role managing teams or multiple processes.
- Minimum of 3 years of experience in billing, accounting, financial operations, or related functions.
- Solid understanding of investment advisory platforms, including Envestnet and clearing firms (Pershing/NFS).
- Strong grasp of accounting principles, reconciliation processes, and internal controls.
- Excellent analytical, problem-solving, and critical thinking abilities.
- Outstanding communication skills, with a knack for building relationships and influencing others.
- Capability to thrive in a fast-paced, dynamic environment with evolving priorities.
Preferred Qualifications:
- Experience in wealth management, investment advisory operations, or financial services billing.
- Familiarity with advisory fee billing and portfolio accounting systems.
- Experience in audit or control testing.
- Possession of FINRA licenses (Series 7 and others) is strongly preferred; completion of SIE is advantageous.
- Advanced degrees or professional certifications (e.g., CFP, CIMA) are a plus.
