ROLE OVERVIEW

The New Patient Coordinator serves as the first point of contact for prospective patients, primarily through SMS and phone communication. This role focuses on building trust through empathetic, thoughtful conversations and guiding individuals toward the next step in their care journey.

This is a full-time, on-call position requiring consistent availability during assigned hours to respond promptly as new inquiries come in. When volume is light, no active call handling is required—but accessibility and responsiveness are essential.

KEY RESPONSIBILITIES

  • Respond promptly and professionally to inbound SMS and phone inquiries.
  • Engage prospective patients in empathetic, open-ended conversations to understand their goals and health needs.
  • Schedule consultations using tools such as Calendly and internal scheduling systems.
  • Accurately document interactions, notes, and patient information in CRM and EMR platforms.
  • Conduct thoughtful follow-ups to encourage scheduling and maintain engagement.
  • Maintain confidentiality and ensure accurate data entry across systems.

REQUIRED QUALIFICATIONS

  • 2+ years of experience in client-facing, patient intake, customer service, or similar engagement-focused roles.
  • Exceptional written communication skills for SMS-based conversations and clear, professional phone presence.
  • Strong active listening skills with a patient, empathetic communication style.
  • Comfortable working in an on-call capacity with consistent responsiveness during scheduled hours.
  • Proficiency with spreadsheets (Excel or Google Sheets) and ability to quickly learn new systems.
  • Prior remote work experience is required. Candidates must be fluent with remote collaboration tools (such as Slack, Zoom, Google Workspace, Asana, or similar) and have ideally worked with US or UK-based companies. Applications without this experience will not be considered.

PREFERRED QUALIFICATIONS

  • Experience in healthcare, telehealth, wellness, chiropractic, physical therapy, or concierge medicine environments.
  • Familiarity with CRM systems or EMR platforms (e.g., Go High Level, DrChrono, or similar).
  • Experience handling SMS-based sales or intake conversations.
