THE ROLE

As our first Office Manager, you’ll be the operational backbone of our NYC headquarters. You’ll keep things running smoothly so our founders and team can stay focused on building. You’ll touch everything from daily office logistics to executive scheduling, and you’ll help shape what a world-class workplace looks and feels like at Solstice.

Hours: 11AM–7PM, Monday–Thursday, in-office. 10AM - 6PM on Fridays. 22 W 19th St, Manhattan, NY

RESPONSIBILITIES

  • Own day-to-day operations of our NYC office — facilities, supplies, vendors, and environment
  • Manage complex calendaring and scheduling for the executive team, including cross-timezone coordination
  • Provide administrative support to founders, including travel booking, expense tracking, and ad hoc research
  • Serve as the first point of contact for office-related needs and help build a strong in-office culture
  • Coordinate team events, offsites, and meetings — logistics through execution
  • Own onboarding logistics for new hires: workspace setup, equipment, and day-one experience
  • Partner with finance and legal on vendor contracts, invoices, and office-related spend
  • Identify process gaps and proactively implement solutions before being asked

WHAT WE’RE LOOKING FOR

  • 2–4 years of experience in office management, executive assistance, or operations — ideally at a startup
  • Obsessive attention to detail and a bias toward action
  • Strong communication skills — you can write a clear email and hold a confident conversation
  • Calm under pressure and able to manage competing priorities without dropping balls
  • Resourceful self-starter who takes ownership and follows through
  • Comfortable with ambiguity; you’re excited to help build processes, not just follow them
  • Experience with G Suite, Slack, and modern productivity tools

NICE TO HAVE

  • Prior experience at a healthcare or life sciences company
  • Experience supporting a founding team through a high-growth phase
