The Role

We’re looking for a proactive Office & Operations Coordinator to keep our site running like clockwork. You’ll manage deliveries, track orders, oversee supplies, coordinate with contractors, and ensure smooth day-to-day operations so our engineers can focus on innovation

To join our team, you should be excited to

  • Coordinate daily deliveries, inspect shipments, and liaise with procurement to track orders and anticipate arrival dates
  • Ensure financial compliance by scanning and uploading packing lists, supporting invoice reconciliation
  • Manage inventory of office and lab consumables, ensuring timely restocking for uninterrupted operations
  • Serve as primary contact for external contractors and suppliers for facilities maintenance (HVAC, fire safety, security)
  • Support travel planning, accommodation, and visitor hospitality for the team
  • Provide general administrative support for HR and operational processes as needed

Your Qualifications

  • Proactive communicator, confident calling procurement or contractors to resolve issues
  • Take full operational ownership of the site, including cleanliness and stock levels, with minimal supervision
  • Highly detail-oriented with administrative discipline to ensure accurate documentation and compliance
  • Understands supply chain and logistics timing, tracking incoming orders effectively
  • Skilled with shipping portals (FedEx/DHL/UPS), ERP/finance systems, office software, and travel booking tools
