QBO Systems Architect: Financial Engineering & Workflow Automation (HubSpot/Ramp/Wise)

I am seeking a high-level QuickBooks Online (QBO) Specialist to architect and oversee the financial backbone of my business.

The priority is a pristine QBO setup that automates the reconciliation of diverse payment and spend tools while syncing seamlessly with our sales pipeline.

Core Responsibilities:

QBO Architecture: Audit and refine our Chart of Accounts to handle multi-channel inflows and outflows.

Revenue Recognition & AR: Build the logic to transform HubSpot "Closed Won" deals into accurate QBO Accounts Receivable entries.

Automated Reconciliation: Configure and troubleshoot bank feeds and third-party integrations (Ramp, Chase, Wise) to ensure 90%+ of transactions are auto-categorized and ready for one-click reconciliation.

International Contractor Flow: Optimize the accounting flow for international payouts via Wise/Dots to ensure proper categorization and 1099/tax compliance.

Data Integrity: Establish a month-end closing process that validates HubSpot deal values against actual QBO deposits.

Required Qualifications:

QBO Pro: You must have deep technical knowledge of QuickBooks Online

Accounting Background: You understand the difference between cash and accrual accounting and how to structure QBO to reflect both.

Integration Expert: Deep experience with the HubSpot-QBO integration and middleware (Zapier/Make) for handling "edge cases" that native syncs miss.

Efficiency Obsessed: You don't just "input data"; you build systems that eliminate manual entry.

Project Details:

Time Zone: Must be available to work within Eastern Time (ET / New York) business hours.

Initial Phase: A deep-dive audit and system rebuild.

Ongoing: Potential for monthly "Controller-as-a-Service" support to ensure the system stays clean as we scale.
