Job Summary:
The Risk & Compliance Administrative Assistant provides administrative and operational support to the Risk and Compliance Department. This role supports committee governance, documentation, reporting, and training administration and general department support to help ensure the department operates efficiently and stay organized.
The responsibilities outlined herein are not all-inclusive. The Risk & Compliance Administrative Assistant may be assigned additional tasks or responsibilities, as deemed appropriate by the Chief Regulatory Compliance & Risk Officer.
Key Responsibilities
- Provide day‑to‑day administrative assistance to the Risk & Compliance Department, including scheduling meetings, managing calendars, and assisting with correspondence.
- Attend Risk, Compliance, and related Board Committee meetings to take accurate and professional meeting minutes, prepare draft and final committee minutes, and attendance tracking.
- Upload committee presentations, minutes, and supporting materials into OnBoard or other committee management systems/tools.
- Assist with the preparation, formatting, and proofreading of Risk & Compliance presentations and reports to ensure documents and materials are complete, accurate, and professionally presented.
- Maintain and update task trackers to monitor current assignments, projects, deadlines, and follow‑ups across the Risk and Compliance department.
- Assist with administrative coordination/processing of departmental budgets, expense reports, and invoices, including tracking, processing, and supporting documentation as required.
- Organize and maintain electronic files (e.g., policies), records, and documentation in accordance with internal standards.
- Organize documentation/evidence to support audits, regulatory examinations, and internal reviews.
- Provide administrative support for the enterprise training program.
- Ensure all staff, including new hires, are assigned required training courses as determined by designated training owners or subject matter leaders.
- Pull training completion, delinquency, and exception reports from the applicable training platform or system.
- Assist with tracking, documenting, and reporting mandatory training requirements for management, audit, and regulatory purposes.
- Assist with administrative follow‑up with third‑parties (including vendors, consultants, and service providers) and help track deliverables to ensure established deadlines are met.
- Assist Risk and Compliance department with collecting requested documents, data, and information from internal stakeholders and third‑parties to support departmental and governance activities.
- Perform other general administrator duties as assigned.
Qualifications & Requirements
- Strong written communication skills, including experience preparing meeting minutes.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Experience with board/committee management tools (e.g., OnBoard) a plus.
- Strong organizational skills and attention to detail.
- Ability to handle sensitive and confidential information responsibly, demonstrating high integrity and discretion in accordance with regulatory requirements.
Education & Experience
- Associate or bachelor’s degree in business, finance or relevant field.
- Minimum 2+ years of administrative experience, preferably in a regulated or professional environment.
Languages English. Plus – Spanish - Portuguese.
