Role Overview
RZR’s new Bangalore office at Tablespace Towers is a flagship investment in our culture, talent brand, and employee experience. With 250+ seats and rapid growth, our workspace must operate as a strategic asset—not merely a facility.
The Workspace Manager owns the end-to-end in-office employee experience: from arrival to departure, every touchpoint, every day. This role manages a complex portfolio of vendors, budgets, stakeholders, and operational rhythms while continuously raising the bar for quality and belonging. This is an experience ownership role, not a facilities admin role.
Scope includes one direct report and deep cross-functional partnership with People Operations, Finance, IT, and Tablespace building management.
Key Responsibilities
- Workspace Experience & Environment
Own the end-to-end employee journey: onboarding day, daily experience, and offboarding touches
Continuously improve all common spaces: collaboration zones, meeting rooms, lounge, reception
Ensure the office reflects RZR’s values: visual identity, cleanliness, ambiance, energy
Oversee seat planning and utilization across 250+ workstations
Lead special initiatives: Friday specials, cultural events, seasonal moments, milestones
Deliver a welcoming, high-energy environment for employees and visitors
- Vendor & Stakeholder Management
Own vendor relationships: cafeteria, F&B, housekeeping, security, courier, and others
Negotiate and manage contracts/SLAs; run performance reviews and renewals
Primary liaison with Tablespace management; escalate and resolve proactively
Manage external travel vendor and travel desk operations
Serve as the go-to contact for all employee queries on facilities and logistics
- Food, Cafeteria & Hospitality
Own cafeteria operations: menu planning, vendor quality, hygiene, feedback loops
Plan weekly Friday specials and monthly features to drive engagement
Oversee beverages/snacks: restocking cadence, variety, cost alignment
Maintain highest hospitality standards and regulatory compliance
3.Travel Desk & Visa Management
Operate the in-house travel desk: bookings, approvals, logistics
Coordinate flights, hotels, and ground transport with vendor
Support visa applications and travel documentation
Maintain travel records, monitor spend, flag anomalies to Finance
- Stationery, Equipment & Procurement
Own inventory of office stationery, supplies, consumables
Ensure meeting room readiness: AV, whiteboards, booking processes
Track asset lifecycle; coordinate repairs/replacements with IT/Finance
Follow vendor empanelment and PO processes
- Finance, Budget & Reporting
Own monthly G&A budget; track actuals vs plan and drive cost efficiency
Prepare monthly P&L reconciliation and share with Finance
Process vendor invoices and ensure timely clearance
Maintain visibility via weekly dashboards and monthly reports
Identify savings without compromising experience quality
6.Team Leadership
Manage one direct report; provide clear goals, coaching, and feedback
Allocate responsibilities for reliable, repeatable execution
Develop the coordinator for increasing ownership over time
Required Skills & Experience
8-10 years in office management, facilities, or workplace experience roles; 150+ employee environments preferred
Proven vendor management: contracting, SLAs, renegotiations, performance
Food/cafeteria or hospitality operations experience is highly preferred
Travel desk coordination and business travel logistics
Budget ownership: P&L tracking, invoicing, reconciliation
Experience with building management/real estate stakeholders
Fluent with G-Suite and Excel/Sheets; basic procurement/asset tools
Strong interpersonal and cross-functional influence skills
High ownership, prioritization, and multi-stream execution
Experience managing junior team members
Bachelor’s degree in business administration, Hospitality Management, or related field preferred
