As a Facilities Specialist, you’ll keep the office operating smoothly and play an important role in PitchBook’s culture. You’ll be the go-to resource for employees and a reliable member of the Facilities Team. You are a pro at finding creative ways to get complex jobs done and love a good challenge. This role requires someone who is highly organized, detail oriented, and enthusiastic about creating a safe and clean working environment.
Primary Job Responsibilities:
Greet visitors, guests, and candidates with a welcoming and friendly smile
Triage and action Freshservice ticket queue; field and respond to employee requests
Event logistics support – ensure HVAC is scheduled for after-hours events, and building security are notified
Provide support for internal event (includes moving furniture and event set up/break down)
Vendor scheduling and coordination
Assist with supply orders and maintenance of par levels
Assist with visitor and guest security access requests and vendor pass downs
Tracking and auditing security access badges
Shipping and receiving requests from various departments and executive requests
Maintain facilities knowledge base in SharePoint and project pages
Assist in New Employee Orientation (NEO) onboarding and Day 1 activities (organizing and maintaining new hires roster for swag drops and OfficeSpace desk locations)
Provide back-office administrative and operations support
Perform minor scheduled and reactive maintenance on office equipment and appliances
Work with Property Management team to resolve workspace issues and issue building engineer requests
Lift up to 60 pounds as a regular function of the job
Perform morning and afternoon “rounds” to keep common areas tidy
Manage storage area use and organization
Manage updates in IWMS
Coordinate desk moves
Initiate and manage repairs and maintenance projects
Initiate and manage customer improvement projects
Document projects for how to guides and MOPs
Partner with property management and engineer for office maintenance
Audit and manage maintenance of building systems
Support the vision and values of the company through role modeling and encouraging desired behaviors
Participate in various company initiatives and projects as requested
Basic Qualifications:
1+ years previous experience in office administration or customer service
Must be authorized to work in the United States without the need for visa sponsorship now or in the future
Preferred Qualifications:
Proactive and solution oriented
Ability to take direction and work independently on assigned tasks
A “hands-on, no job is too big or too small” attitude, anticipating needs in advance and ensuring preparations are made for smooth execution
Strong organizational skills including effective time management and prioritization of duties
Ability to remain flexible in a constantly changing environment
College degree preferred
Experience with IWMS and facilities ticketing system a plus
Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily
Facilities systems management experience
Experience in multistep project delivery a plus

Compensation
This position is non-exempt and paid a salary of $75,000-$85,000
Target annual bonus percentage: 7.5%
