About the role

Original posting from Tekla via Greenhouse

We are looking for an Office Assistant to look after our office and the people in it, and to make it a place everyone enjoys coming to.

You will care for the office and shared spaces each day, and make them welcoming and easy to work in. You will work closely with our suppliers, always looking for ways to make things simpler.

As part of the People and Culture team, you will support employee engagement and the social and cultural moments that bring people together. Your work will shape how our team experiences the office and their time with Tekla. This role suits someone organised, warm and practical, who likes hands-on work and notices the small things. You will find joy in keeping things in order, with good attention to detail and brand sensitivity.

This is an office-based, part-time position of three days per week, with Mondays required. We can offer some flexibility to support those who are studying or balancing other commitments.

Key responsibilities of the role include, but are not limited to:

The office, day to day

Keep the office tidy and professional, reflecting our standards and culture.

Support the everyday administrative tasks that keep the office running smoothly.

Be the first point of contact for building management, maintenance and facilities suppliers.

Care for the space and keep it well stocked, from laundry, plants and flowers to coffee, cleaning products and stationery.

Host guests, book parking, and set up for meetings, interviews and team events.

Employee experience

Plan and deliver office events, from celebrations to small gatherings, and keep the office calendar and internal communications up to date with the People and Culture team.

Manage keys, fobs, the alarm and the Salto access system for joiners and leavers.

Support the sourcing, tracking and recycling of IT equipment and company phones, as directed by the relevant internal stakeholders.

Coordinate health and safety for the office, keeping documentation and risk assessments current.

Ad hoc business support

Develop, implement, and continuously refine office policies, process documentation, and operational guidelines to support scalability and efficiency.

Help look after the basement and its day-to-day upkeep, working closely with the teams who share the space.

Book travel and hotels for the founders and, when needed, for new starters or guests.

Support one-off orders and culture initiatives across the business as they come up.

We would love to hear from you if you have:

Experience in an office, administrative or coordination role, ideally in a growing company.

A proactive, organised approach, with the ability to handle multiple priorities and keep track of details without things slipping.

Strong communication skills, comfortable liaising with suppliers, colleagues and leadership alike.

A genuine interest in people and in making a workplace feel good to be in.

A discreet, thoughtful nature, and care for the people and information in your charge.

Good IT literacy, particularly with Microsoft Office, and a willingness to learn new systems such as Business Central.

A collaborative spirit, and a readiness to lend a hand where it is needed most.

A creative eye for the smaller moments, and for how the office looks and runs day to day.

Applications will be reviewed and interviews conducted on an ongoing basis, with the aim of the successful candidate joining us as soon as possible.
