About the Positions

We’re seeking Project Coordinators to support large, complex heavy civil infrastructure programs, including highways, roads, bridges, transit (bus and rail), aviation (international airports), and water/wastewater projects delivered through both traditional and alternative delivery methods. These positions keep the project office running: submittals and requests for information moving inside contractual time frames, action items closed, cost and progress reporting current, and a project record that holds up long after the people who built it have moved on. We place coordinators into program offices, field offices, and construction management teams, so we are looking for people who have carried the day to day coordination load on a program of real size.

This post is for future roles and not for a specific opportunity that is available right now. We accept applications and conduct interviews in advance of upcoming hiring needs. When a candidate is selected, their profile is activated in our talent pool for this specialty area. We notify our talent pool candidates first whenever we have a project need.

Responsibilities may include, but are not limited to, the following:

Coordinate the daily operations of the project office, including meeting agendas, minutes, and action item tracking, and drive open items to closure with the parties who own them.

Track submittals, requests for information, and change documentation through the program’s management information system, and keep contractor and reviewer turnaround inside the contractual time frames.

Maintain the project record, including correspondence, transmittals, contract documents, and supporting files, so decisions stay traceable through audit, claim review, and funding review.

Review contractor and consultant deliverables for completeness and conformance with the contract’s documentation requirements before they reach the program’s technical reviewers.

Monitor progress reporting and field activity against the accepted schedule, and report deviations, operational impacts, and discrepancies to the project manager.

Develop project status reports, progress summaries, and staffing plans for program and funding agency audiences, drawn from schedule, cost, and document control data.

Support program cost tracking by maintaining budget, accrual, invoice, and cash flow records, and reconciling pay applications and change documentation against the program’s cost record.

Coordinate site access, badging, escorts, and work windows on active facilities so field work happens only inside the periods the operator approves.

Coordinate information flow across program disciplines, agency stakeholders, third parties, and adjacent contracts so questions reach the right reviewer and the answers get recorded.

Coordinate contract closeout, including punch list tracking, final inspection scheduling, as-built and warranty submittals, and record retention.

Guide project staff on the program’s documentation standards and the proper use of project systems and procedures.

Attributes

Excellent written and verbal communication and interpersonal skills.

Excellent multi-tasking and organizational skills.

Collaborative mindset that fosters teamwork, trust, and positive relationships.

Natural curiosity, problem-solving abilities, and a commitment to continuous improvement.

Minimum Qualifications

Bachelor’s degree in construction management, civil engineering, construction engineering, or project management, or related field, or equivalent combination of education and experience.

5+ years of project coordination experience on multiple task order contracts for large (>$500M), complex, heavy-civil infrastructure projects.

Experience tracking submittals, requests for information, and change documentation through a project or construction management information system on transit and transportation projects.

Working knowledge of construction contract administration, including submittal and request for information workflows, change documentation, and project recordkeeping.

Thorough knowledge of general office practices and procedures, including business correspondence standards and the arithmetic behind quantity, invoice, and budget records.

Experience with industry standard project / construction management software (e.g., Primavera P6, MS Project, Unifier, Kahua, etc.).

Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, PowerPoint, etc.).

Preferred Qualifications

Master’s degree in construction management, civil engineering, construction engineering, or project management.

Active professional certifications such as CAPM or PMP (PMI), and/or CCM (CMAA).

Experience coordinating the owner’s project office on a program exceeding $1B in construction value.

Experience coordinating documentation, reporting, and correspondence across multiple concurrent contracts or work packages on the same program.

Experience supporting contract administration on a package exceeding $100M in construction value, including change documentation, pay applications, and closeout.

Experience coordinating submittal and shop drawing tracking on bridge or structures packages.

Proficiency with Microsoft Power BI, Oracle Cloud Analytics, or other dashboard KPI reporting software.
