About the Role

We are looking for a Recruiting Coordinator to own the logistics and candidate experience behind every role we hire for. Recruiting at Specter runs across a wide surface: engineers, software, supply chain, and operations, often in the same week. You will be the person who keeps all of it moving.

This is a coordination role. You are the operational spine of the hiring process — the one who knows where every candidate sits, what is blocking them, and who needs a nudge. Recruiters and hiring managers depend on you to hold the details so they can stay focused on evaluation and closing.

Our hiring is happens both virtually and on site: facility tours, hands-on interviews, candidates flying in for the day. The right person for this role is unusually organized, comfortable holding a high volume of moving pieces at once, and cares that every candidate leaves with a good impression of Specter whether or not they get an offer.

What You Will Do

  • Own interview scheduling end to end — coordinate calendars across candidates, interviewers, and hiring managers, and absorb the inevitable reschedules without losing momentum
  • Serve as the primary point of contact for candidates from first outreach through onsite, keeping them clear on logistics, timelines, and next steps
  • Run onsite and virtual interview logistics: rooms, agendas, interviewer prep materials, facility tours, and candidate travel
  • Keep the ATS clean and current so pipeline data is something the team can actually trust
  • Post and maintain open roles across the ATS and external boards
  • Partner with recruiters and hiring managers on debriefs, pipeline hygiene, and weekly hiring reporting

Qualifications

  • 2+ years of recruiting coordination and/or executive assistant experience
  • Exceptionally organized. You hold and organized a lot of moving pieces at once without dropping any balls
  • A warm, easy presence with people. You are the face of Specter to candidates and a daily partner to hiring managers
  • Strong written and verbal communication
  • Comfortable with Applicant Tracking System (ATS) and with calendar tooling
