About the role

Original posting from Navan

Navan is seeking a proactive, analytical, and detail-oriented Travel & Expense (T&E) Analyst to support and continuously improve the company’s global travel, expense, and corporate card operations. This role helps ensure that employee expenses are processed accurately and efficiently, company policies and internal controls are followed, and employees receive timely, practical support. The analyst will help administer Navan’s T&E platform and related workflows, analyze spend and compliance trends, support audits and financial reporting, and identify opportunities to simplify operations through automation and data-driven process improvements.

The role partners closely with Accounts Payable, Accounting, Treasury, Procurement, People, Finance, business leaders, and employees across regions. The analyst will also support VAT and other eligible indirect tax reclaim activities, coordinating documentation and submissions with internal stakeholders and external providers as applicable.

What You’ll Do:

Review and support accurate, timely processing of employee expense reports, corporate card transactions, reimbursements, and related T&E activities in accordance with company policy and applicable local requirements.

Administer and enhance Navan’s travel and expense platform, including user access, configuration, workflows, policy settings, corporate card support, issue resolution, and coordination of system updates.

Apply T&E policies and internal controls consistently; identify out-of-policy activity, missing documentation, duplicate or potentially suspicious transactions, and exceptions requiring additional review or approval.

Support internal and external audits, compliance reviews, and control testing by preparing transaction support, maintaining clear documentation, tracking remediation items, and partnering with control owners.

Coordinate timely employee reimbursements and corporate card transaction resolution with Accounts Payable, Accounting, Payroll, and other relevant teams, investigate payment delays, rejected transactions, and reconciliation differences.

Support VAT reclaim and other indirect tax recovery processes by identifying potentially eligible expenses, validating invoices and supporting documentation, coordinating data and submissions with tax teams or reclaim providers, monitoring claim status, and tracking recoveries and exceptions.

Analyze global T&E data and maintain dashboards, reports, and data processes to identify trends, compliance patterns, risks, and cost-saving opportunities while delivering accurate, actionable insights to stakeholders and leadership. Serve as a first point of escalation for complex T&E questions and exceptions, investigate root causes, recommend practical resolutions, and escalate policy or control risks to the appropriate owner.

Deliver clear employee and manager guidance, training, and communications on Navan usage, travel and expense policies, corporate card procedures, receipt requirements, and reimbursement processes.

Identify and implement opportunities for automation, AI-enabled review, workflow simplification, and improved self-service, while maintaining appropriate human oversight, auditability, and control standards.

Contribute to global T&E program initiatives and provide regional support as needed, adapting processes to local business practices, statutory requirements, currencies, and languages.

What We’re Looking For:

Strong analytical, critical-thinking, and problem-solving skills, with the ability to investigate complex transactions, resolve escalated T&E issues, and recommend practical solutions.

High attention to detail, sound judgment, integrity, and a strong commitment to confidentiality and internal control compliance.

Excellent written and verbal communication skills in English, with the ability to explain policies and processes to employees and stakeholders at different levels.

Strong organizational skills and the ability to prioritize competing deadlines, manage multiple workstreams, and work effectively in a fast-paced environment.

Experience preparing operational reports, interpreting financial data, identifying trends, and translating findings into actionable recommendations.

Experience with VAT reclaim, GST/HST recovery, or other indirect tax refund processes is preferred, familiarity with invoice validation, supporting evidence, claim tracking, and coordination with tax specialists is an advantage.

Education: Post-secondary education in Finance, Accounting, Business Administration, or a related field preferred. Equivalent education, professional training, or practical experience will also be considered.

Experience: 3–5 years of experience in travel and expense operations, accounts payable, corporate card administration, accounting operations, or a related finance function.

Experience supporting a multinational or multi-entity organisation.

Hands-on experience with Navan is preferred. Experience with other T&E or expense management platforms may be considered.

Experience with an ERP system such as NetSuite, and strong Excel or Google Sheets skills, is preferred.

Experience supporting audits, policy compliance, expense analytics, and process improvement is an advantage.
