Workers’ Compensation Coordinator

Location: Remote, US

Type: Full-time, Permanent

Salary: $60,000 USD

About Zen Educate

Zen Educate is a technology company that matches schools with temporary educator staff. Our mission is to change the world of education recruitment. Schools spend over $9bn a year on temporary educators, with over $2bn per year of that spent on fees that take money out of the education system. By leveraging the latest technology, we purpose-built a platform that helps schools to pay less while educators earn more.

We want students to have access to the best education possible, and we go the extra mile to find, onboard, match, and coach incredible educators that deeply care about their students. We wake up every day on a mission to care more. We care more about our school administrators, educators, and the students they serve.

As we scale rapidly across the US, building strong operational foundations is critical. That includes building a best-in-class Workers’ Compensation operational workflow that supports our educators promptly while keeping our claims records accurate and up to date.

About the Role

Zen is hyperscaling—up 4x year over year, and we’re not slowing down. As we grow, our Workers’ Compensation program relies on smooth, day-to-day coordination between our educators, operations teams, and external insurance partners.

We are looking for a Workers’ Compensation Coordinator to manage the day-to-day administrative engine of our claims workflow. Working directly under the Workers' Compensation Program Manager, you will serve as the primary operational liaison for incident intake, claim documentation, insurance carrier follow-up, and supporting the development of our Return-to-Work initiatives.

This role is execution-focused, detail-oriented, and highly communicative. You will ensure no claim detail falls through the cracks and that our educators receive empathetic, timely support from day one.

What You’ll Be Doing

Incident Intake & Claims Coordination

Serve as the primary point of contact for internal teams and educators for reporting new incidents.

Complete initial claim intake, gather incident reports, medical notes, and witness statements, and promptly submit filings to our insurance carrier.

Track open claims through their lifecycle, maintaining up-to-date administrative records and claim logs.

Act as a reliable liaison between injured educators, school administrators, and insurance carrier adjusters.

Return-to-Work (RTW) Program Development & Educator Support

Partner with the Workers' Compensation Program Manager to help design, build, and roll out a structured Return-to-Work program tailored to school environments.

Check in regularly with injured educators during their recovery to provide empathetic support and gather updated medical progress notes.

Organize and track medical work-status notes from treating physicians and insurance carrier representatives.

Assist in coordinating light-duty options and return-to-work placement modifications with internal Operations and school partners based on functional limitations.

Data, Reporting & Administrative Support

Maintain accurate internal claims tracking dashboards, OSHA logs, and audit records.

Pull routine loss run reports and assist the Workers' Compensation Program Manager with preparing monthly claims summaries for leadership.

Review insurance carrier correspondence, invoices, and medical bills for initial completeness before sending for manager review.

Assist in organizing documentation for annual insurance audits and program reviews.

What We’re Looking For

We are looking for someone who combines high attention to detail, strong organizational skills, and genuine empathy.

1–3 years of experience in Workers' Compensation administrative coordination, claims assistance, or HR/Risk management support.

Experience working directly with an insurance carrier or employer-side claims environment.

Solid understanding of basic Workers' Compensation terminology, form filings (First Report of Injury), and medical note documentation.

Strong organizational skills with a proven track record of managing multiple ongoing tasks and detailed records without missing deadlines.

Empathetic communication skills—able to speak supportively with injured educators while maintaining professional boundaries.

Comfort using spreadsheets, claims management software, or modern HR systems to track data.

Prior experience with staffing agencies, schools/education clients, or multi-state operations is a plus, but not required.
